After Athena joins a meeting, the conversation moves through several processing steps before the recording, transcript, and generated notes are ready.

Find a meeting

Open Meeting Recordings to see your captured meetings. The list is ordered by the date the meeting was captured. Use Search to look for a meeting by title, date, or assigned Project, or filter the list by status. Select View to open a meeting record.

Processing statuses

The status tells you which part of the process is complete:
  • Waiting — Athena has been invited, but processing has not started.
  • Transcribing — the conversation is being turned into a transcript.
  • Transcript ready — the transcript is available while notes continue processing.
  • Generating notes — Athena is creating meeting notes from the transcript.
  • Ready — the recording, transcript, and generated notes are available.
  • Notes failed — the transcript was received, but notes could not be completed.
  • Processing failed — the meeting could not be processed successfully.
Refresh the Meeting Recordings list or reopen the meeting to see the latest status. Processing time depends on the meeting and the amount of conversation captured.

Use the recording and transcript together

When a recording is available, the Raw transcript tab shows the transcript beside the video. Select a transcript entry to move the recording to that point. As the recording plays, the matching transcript entry is highlighted. The raw transcript is editable. You can correct wording, rename speakers, add a speaker, or use Find/Replace for repeated corrections. Save your changes before using them to create new notes.

Include only the useful conversation

Select transcript entries and save your selection when you want to exclude parts of the conversation from future note generation. Exclusions are saved with the meeting and can be changed later.

Reload the raw transcript

If the original transcript needs to be retrieved again, choose Reload raw transcript. Reloading replaces the saved transcript with the latest available version and clears saved exclusions. Review the replacement before generating notes from it. If someone else has changed the transcript while you were editing, reload the meeting before saving. This prevents one person’s changes from overwriting another person’s work.

Recording availability

Some meetings have a transcript or notes even when a recording is not available. In that case, use the transcript and generated notes as your working record.
